What services are available to tenants via the portal?

Among other functions, tenants can:

View their lease information with charge schedules, clauses and options

Allow tenants to view and manage lease contacts and portal user access

View their tenant ledger including open charges and recent payments

Make payments via ACH, debit cards and credit cards

View lease and property documents

Enter and submit sales reporting

Enter, view and manage work orders

View property contacts

Make reservations for building assets such as a conference room or freight elevator

Manage authorized guest access and package delivery to a centralized building mail room

Can we implement work orders only? What about payments only?

Yes. CommercialCafe is highly configurable, and features can be easily turned on or off as needed. For example, we have clients that only use the tenant portal for work order entry or payment processing.

If we have a tenant that is not in good standing, can we turn off online payment processing for that tenant?

Yes. You can turn off online payment processing for a single tenant by changing the payment terms for their lease in Voyager.

What payment options do tenants have in the portal?

There is a $25,000 payment transaction limit, which is established per property.​ ACH transactions are settled the next day; credit and debit card payments settle in about three days. Tenants can set up their payments as follows:

PWIO (Pay What I Owe). Automatically pay any outstanding charges on the account in full, up to the maximum payment amount. The amount depends on the charges that have been posted. It includes ad hoc and variable charges up to the maximum payment amount.

Pay by Lease Charge. This displays all charges on the recurring charge schedule by line item. The user can select specific recurring charges from the charge schedule to pay automatically each month. The selected charge types are paid in full.

Fixed/Variable. The user selects a fixed amount (portion of outstanding charges) to be paid each month, regardless of whether charges have been posted. The system pulls this amount each month regardless of the balance on the account. The variable part of this option allows the user to set up an automatic monthly payment amount for variable charges.
